Elite JR FC — how we use your and your child's information
Interim notice, last updated 27 August 2026. This will be reviewed and finalised with the club's legal adviser; the substance of what we collect and why will not change.
Who is responsible
Elite JR Ltd (trading as Elite JR FC) is responsible for your child's information. The online system we use (“the Hub”) is built and maintained on our behalf by AI in Clear, who act only on our instructions.
What we collect
Your child's name, date of birth, playing position and photograph; your name, email and phone number; training attendance, match and training records; coaches' notes and development reviews; and, for tours, emergency contacts, any medical information you give us, a copy of your child's passport, and payment records. Tour payments are taken by card through Stripe — we never see or store your card details.
Why we use it
To pick and manage teams, to give you regular feedback on your child's development, to organise tours safely, and to contact you about club matters and tour payments. We do not use it for advertising and we do not sell it.
Artificial intelligence
Coaches can dictate notes, which are transcribed automatically, and the system can produce a first draft of a development review. A coach reads and edits everything before it is saved or shared with you — no decision about your child is made automatically.
Who we share it with
Only the service providers that run the Hub for us:
- Supabase — database, sign-in and secure file storage (EU-hosted)
- Vercel — application hosting (US)
- OpenAI — voice-note transcription and drafting review text (US); this data is not used to train their models
- Stripe — card payment processing for tours (US/global)
- Google (Gmail) — sending our emails from the club's own account (US)
- Cloudflare — bot protection on our sign-in and registration forms
- Sentry — error monitoring (EU-hosted)
Where a provider is outside the UK, the transfer is covered by the standard contractual protections those providers offer (UK International Data Transfer Agreement / Standard Contractual Clauses).
How long we keep it
We delete your child's information when they leave the club or are removed from the squad. Where a player is marked as having left, their records are automatically deleted after a set period (currently 12 months). We do not keep data on former players indefinitely.
Your rights
You can ask to see the information we hold about your child, correct it, ask us to delete it, or ask for a copy. Parents with a Hub login can download a copy of their child's data from the “My child” page. For anything else, contact Roberto Dos Santos Saraiva at elitejrfc@gmail.com. You can also complain to the Information Commissioner's Office (ico.org.uk).
Keeping it safe
Access is restricted by role — coaches see only their own team, parents see only their own child, and medical and identity documents are restricted further. Those documents are stored privately and reached only through time-limited links. Information is encrypted in storage and in transit.
